Our pro tips to ensure your newsletter looks great everywhere and troubleshoot common design issues

Email providers come with an array of unexpected challenges we help you solve below. Click the issue you've encountered and we'll guide you.

I. Background images don't show

This usually happens to Outlook Desktop app users because the Outlook desktop app doesn't support background images like most email providers and even Outlook on the web do. (If it happened with a different email provider please follow these steps.)

This means that recipients using the Outlook Desktop app will by default see a fallback color chosen by Outlook while recipients using other email providers such as Gmail or using the online version of Outlook will see the background image.

To help with this, we let you select a fallback background colour so you can request the Outlook Desktop app to show your preferred background colour:

Alternatively, if you send internal newsletters and your team also uses Microsoft Teams, you could change the way you share newsletters by providing your contacts with the newsletter Share URL you'll get from the 'Export' button:

When people click this link, the newsletter will open in their browser no matter what device they use. Analytics are collected from there as well and you could even do both: sharing your newsletter via email and Microsoft Teams with the Share URL.

Note that we collect analytics in both cases, whether you send via email or provide the Share URL and these will be added to the newsletter analytics.

And the Share URL can be used anywhere: for example on Social media, via any internal or external messaging app (Microsoft Teams, Slack etc..), phone texts, CRM dashboard etc..

II. Rounded corners appear as square

This is a typical limitation of the Outlook Desktop app because it doesn't support round edges like most email providers and even Outlook on the web do. (If it happened outside the Outlook Desktop app, please follow these steps.)

This means that recipients using the Outlook Desktop app will by default square edges while recipients using other email providers such as Gmail or using the online version of Outlook will see the round edges as expected.

If you send internal newsletters and your team also uses Microsoft Teams, you could change the way you share the newsletters by providing your contacts with the newsletter Share URL you'll get from the 'Export' button:

The benefits will be that:

  • When people click the share URL, the newsletter opens in their browser no matter which device they use and browsers are typically more up-to-date and support more fonts than email providers do.

  • We collect analytics in both cases, whether you send via email or provide the Share URL and these will be added to the newsletter analytics.

  • The Share URL can be used anywhere: for example on Social media, via any internal or external messaging app (Microsoft Teams, Slack etc..), phone texts, CRM dashboard etc..

III. Some fonts don't show as expected

Please check that your font is supported by most email clients.
Different email providers support different fonts. For example, Gmail supports Open Sans and Roboto web fonts, but Outlook and Apple Mail don’t. However, each email client has a default font to revert to if it doesn’t support a web font.:

  • Gmail: Arial

  • Apple (default Mac and iOS apps): Helvetica

  • Outlook: Calibri

Additionally, the Outlook Desktop app might not support the same options as Outlook on the web does. Below are some fonts that usually work well with most email providers:

  • Raleway

  • Oswald

  • Tahoma

If the font is really important to you and it is a web-supported font you might want to share your newsletter using the Share URL instead of emailing it:

  • When people click the share URL, the newsletter opens in their browser no matter which device they use and browsers typically support more fonts than email providers do.

  • We collect analytics in both cases, whether you send via email or provide the Share URL and these will be added to the newsletter analytics.

  • The Share URL can be used anywhere: for example on Social media, via any internal or external messaging app (Microsoft Teams, Slack etc..), phone texts, CRM dashboard etc..

That said, if you sent an email to someone who downloaded the font, it should show for them. If it doesn't, please follow these steps.

III. An odd link/preview text appears in the recipient's inbox

The URL shown is related to the first piece of content added to your Newsletter. Email providers show it by default, however, you can easily override it using the Publication setting shown below by adding your Preview in the ' Email preview Text ':

The effect is not retroactive though so it will apply when you share the newsletter next.

V. Something else looks wrong

Option 1: You used Outlook, Gmail or MailChimp AND the 'Export' button > 'Copy to clipboard' option

Try sending using our integrations instead. The integrations protect the newsletter code from being impacted by email providers and usually fix most discrepancies or responsiveness issues. If that didn't help, check the next steps here.

If your IT team has not allowed you yet to use our integrations, here are a few tips:

Meanwhile, you'll get the best results by either:

  • changing the way you share the newsletters by providing your contacts with the newsletter Share URL you'll get from the 'Export' button:

    The benefits will be that:

    • When people click the share URL, the newsletter opens in their browser no matter which device they use and browsers are typically more up-to-date and support more fonts than email providers do.

    • We collect analytics in both cases, whether you send via email or provide the Share URL and these will be added to the newsletter analytics.

    • The Share URL can be used anywhere: for example on Social media, via any internal or external messaging app (Microsoft Teams, Slack etc..), phone texts, CRM dashboard etc..

  • or if you really need to email the newsletter when you use the 'Export' > 'Copy to clipboard' option try the 'Keep source formatting' option as shown below when pasting in your email draft - it doesn't always fix everything like the integrations would but it usually helps:

    Option B: You exported the newsletter to a 3rd party CRM

    Try sending a test from Publicate 'Preview' mode:

    If that worked well, it means your CRM is causing the issue and you'll need to contact their IT team. If that doesn't work well, follow steps 2 below and please forward what you received to preview.inbox+amblpt-v@emailpreviewservices.com.

Troubleshooting further

If the above didn't help, please open the chat in the bottom right corner and confirm that you've already followed the steps from this article. Then provide the following details so we can troubleshoot:

  • your newsletter Share URL (available from the 'Export' button):

  • screenshot(s) of the discrepancy(ies) and confirm it is from your email draft or a recipient's inbox. If it's the latter please confirm the email provider and device they use. Please point clearly on the screenshot to anything unexpected or expand in your comments so Tech can clearly identify the issues.

  • confirm how you exported the newsletter: using the ' Export' button> ' Copy to clipboard' option OR our dedicated Outlook Add-in or extension or Gmail extension? If you use Outlook, please confirm if you're on a Mac or PC, if you use Outlook on the web or the Outlook desktop app and whether you use 'Classic Outlook ' or 'New Outlook '. Here is how to find out.

  • If you noticed a responsiveness issue, please confirm the recipient's mobile device name, OS / iOS run, email provider and app.
    For example: iPhone 11 Pro - iOS 15 - Outlook email checked in the native Mail app.
    Or Samsung Galaxy S23 Ultra - Android 14 - Outlook email app
