How to easily import and send your newsletters from your Outlook

(***IMPORTANT: if you signed up with Publicate before December 2023 OR were invited to Publicate by someone who registered before December 2023, please check this help article instead***)

Sending newsletters via Outlook is now easier than ever.: just check the menu below and click on the relevant option for you:

OUTLOOK DESKTOP APP USERS:

OR

OUTLOOK ON THE WEB (Outlook.live.com) USERS:

TROUBLESHOOTING

1. You switched to 'the new Outlook' and use Windows


You can either watch this video and/or follow the steps below:

  1. Open a new email draft, click the app's icon in the ribbon and 'Apps'

  2. Click 'Get Add-in' and search for 'Publicate'in the add-in store window that opens:


  3. Click on 'Publicate', then click 'Add'

  4. The add-in will install pretty instantly and you can close the 'get started' pop-up and Add-in window underneath:

5. Click the 'P' icon now showing in the top ribbon and click the newsletter you want to import from the right-hand-side window (and/or switch to a different workspace first if needed):

(The first time you'll be asked to sign in using your Publicate logins)

2. You use 'the new Outlook' and a Mac

  1. Next, click the 'Get it now' button

2. Open a new email draft and click the 'Publicate' icon in the top ribbon (this is the Mac view, it may look slightly different on PC and it might be available from the '...' menu )

3. Select your newsletter in the pop-up window that opens. If you use different workspaces, you can switch from on to the other via the workspace field at the top:

3. You use the ' Classic Outlook'

  1. Click the app's icon in the ribbon and 'Apps'

2. Click 'Get Add-ins'

3. Search for 'Publicate'

4. Click 'Add' to install the add-in

5. Click the 'Apps' icon again and the Publicate 'P' icon below to open the Add-in window and select your newsletter (The first time you'll be asked to sign in using your Publicate logins)

6. Next, we recommend you pin the 'P' icon to the top ribbon to access it more easily in the future. To do this, click the 3 dots in the top right corner and right-click on 'Insert Publicate email' then select 'Pin to ribbon ' :

4. You use Outlook on the web (Outlook.live.com)

  1. Click the above button to access the Chrome store where you'll need to click the 'Add to Chrome' button and 'Add Extension' on the next pop-up window: this will automatically download and add the extension to your browser.

2. Log in to your account on Outlook.live.com. If you are used to the Outlook Desktop app, don’t worry the same login details apply. Start a new email draft and you will see Publicate ‘ Import Publication’ button at the top of the email draft:

3. The first time you click on it, you will be asked to give the Publicate Browser Extension permission: click ‘ Accept’ to continue and provide your Publicate login details so your Publicate account is connected to your Outlook:

4. Note that if you have multiple Team workspaces you can browse the newsletters showing in a different Team workspace by selecting a different Team workspace at the top.

3. Troubleshooting

Have trouble finding or using the Add-in or the extension? Check our common questions and replies below:

1. I installed the Outlook Add-in and…

  • I can’t see anything related to Publicate in my Outlook Desktop app

If you installed the Outlook Add-in as per section 1 above and can’t see anything Publicate related in your Outlook Desktop app, this article should help. If not, check out the next section in case your Outlook disabled the Add-in.

  • Outlook seems to have disabled the Add-in

  • I can’t see the 3 dots ‘... ‘ at the top of my email draft

If you use an older version of Outlook, instead of having 3 dots showing at the top of your email draft, you might see the following instead:

  • I can’t see the ‘ Import Publication’ button at the bottom of my email draft

Please make sure that you accepted the Chrome extension terms and that the extension is active on your browser as per this article.
